Draft, pending counsel review. This is the policy VoiceRobot operates under while its counsel completes a review; the reviewed text will replace it here with a new effective date.
Terms of service
The terms on which a law office uses VoiceRobot. A pilot runs on a signed order form that incorporates them.
Effective
1. The service
Romalon Partners LLC., a Massachusetts limited liability company (file number 001973514), doing business as VoiceRobot.AI ("VoiceRobot"), provides an automated assistant that answers calls and texts for the customer, a law office. The service is software.
VoiceRobot does not provide legal services or legal advice, and nothing the assistant says is legal advice or an acceptance of representation.
2. The customer
The customer configures the recording consent mode and the disclosure wording for its jurisdiction; supervises the assistant as a nonlawyer assistant under its rules of professional conduct; reviews every intake before it becomes a matter; and is responsible for the accuracy of the practice areas, fee schedule, and staffed hours it enters.
3. Data processing
VoiceRobot is the customer's service provider. It processes caller data only to provide the service, does not sell or share it, and does not use it to train models. It deletes or returns the data at the end of the engagement within 90 days, gives the notice required by law before adding a subprocessor, notifies the customer of a security incident within the notice period required by law, and cooperates with the customer's privacy obligations and audits. The current subprocessors are published at voicerobot.ai/subprocessors.
4. Confidentiality
Everything a caller says is the customer's confidential information. VoiceRobot's staff access it only to operate and support the service, and every such access is logged.
5. Term and cancellation
A pilot runs for the period on the order form and does not renew automatically. Continuation is by a new signed order. Either party may end the pilot by written notice by email, with no further step required.
When subscription billing exists, renewal is preceded by a written reminder and cancellation takes no more steps than signing up.
6. Acceptable use
No use for outbound solicitation without the consent gates the platform enforces. No attempt to make the assistant give advice or confirm representation. No card or bank details through the assistant.
7. Availability
The service says when it cannot reach the customer's records and offers a callback. It does not guess. No uptime is promised during a pilot.
8. Ownership
The customer owns its data, prompts, and flows. VoiceRobot owns the platform.
9. Liability
To the extent the law allows, neither party is liable to the other for indirect, incidental, or consequential loss, and each party's total liability under these terms is limited to the fees paid under the order form in the twelve months before the claim arose. Nothing here limits liability for a breach of the confidentiality or data-processing clauses, or for anything the law does not allow to be limited.
10. Governing law
These terms are governed by the law of the Commonwealth of Massachusetts.
11. Console accounts
Accepting an invitation to the console is acceptance of these terms on behalf of the customer.
